1. Who We Are and the Scope of This Policy
AI PropX is the development identity behind the property analysis tools operated by AIPROPX LLC. This Privacy Policy explains how AIPROPX LLC, a company registered in the United States with its principal office at 361 E Susan Cir, Sandy - 84070-3438, United States (US), collects, uses, stores and protects information when you visit our website at https://www.aipropx.lat, contact our drafting hall, or engage us for property analysis work. The practices described here apply to the website, to email and telephone communications, and to the reports and datasets that we produce during an engagement.
AI PropX builds the analysis software and the reporting workflow that AIPROPX LLC uses in client work. Because the tools and the practice are operated together, this policy treats the developer identity and the company as one responsible organisation for privacy purposes. Where this policy refers to we, us or our, it means AIPROPX LLC together with AI PropX. Where it refers to you, it means a visitor, a prospective client, a client contact or any other individual whose information reaches us.
We have written this policy in plain prose so that it can be read without a legal dictionary. It is organised into numbered sections with a table of contents above so that you can jump to the part that matters. If anything remains unclear after reading it, please write to contact@aipropx.lat and we will explain the point in direct terms.
This policy does not cover the practices of third party websites that we link to, nor does it cover data that a client collects and controls inside its own systems before that data is shared with us. In those situations the client remains responsible for its own privacy notices.
2. Information We Collect Directly from You
When you send a message through the contact form on this website, we receive the name, email address, subject line and message body that you enter. If you choose to send an email or place a telephone call instead, we receive the contact details that you provide in that communication, including your name, email address, telephone number and any attachments you choose to include.
When you become a client, we collect the business contact details of the people who work with us, such as names, job titles, email addresses and telephone numbers. We also collect the property records, ledgers, photographs, appraisal documents and listing exports that you provide so that we can carry out the engagement. Some of those documents may incidentally contain personal information about tenants, owners or other individuals. We treat that information as confidential client data and use it only for the purpose for which it was supplied.
We do not ask for government identification numbers, financial account numbers, health information or other sensitive categories of personal data through this website. Please do not send such information through the contact form. If an engagement genuinely requires a sensitive document, we will ask for it through a separate channel and explain why it is needed.
3. Information Collected Automatically
Our website is a set of static pages. It does not run advertising trackers, behavioural profiling scripts or cross site analytics suites. The hosting provider that serves the pages may record standard technical information in its server logs, including the internet protocol address of the requesting device, the browser type and version, the operating system, the referring page and the date and time of the request.
Those server logs are maintained by the hosting provider for security, diagnostics and abuse prevention. We may review them when investigating a technical problem or a suspicious request. We do not combine them with the identity of a visitor and we do not use them to build a profile of any individual.
Cookies are small text files that a website places on a device. This website does not set advertising cookies or analytics cookies. If a future version of the site introduces a functional cookie, this policy will be updated before that cookie is used, and the new version will state its purpose and duration.
4. Why We Need Your Information
We collect and use personal information only where we have a lawful and practical reason to do so. Those reasons fall into four categories. First, we need contact details in order to answer an enquiry, arrange a scope conversation and deliver a report. Second, we need engagement records in order to perform the contract that the client and AIPROPX LLC have agreed. Third, we have a legitimate interest in protecting the website, the practice and the data that clients entrust to us. Fourth, we may need to keep records in order to comply with tax, accounting and other legal obligations that apply to a company operating in the United States.
Where the law requires consent for a particular use, we will ask for that consent separately and explain what it covers. Consent can be withdrawn at any time by writing to contact@aipropx.lat. Withdrawal does not affect the lawfulness of uses that took place before the withdrawal.
Because the engagement involves property analysis rather than consumer marketing, most of the information that we process is business information about properties and portfolios. Even so, we apply the same care to personal details that appear within those files as we apply to the contact details of the people who send them.
5. How We Use Information
We use your contact information to reply to enquiries, to prepare quotations, to schedule scope calls and review sessions, and to send the documents that belong to an engagement. We may use an email address to send administrative notices about a live engagement, such as a change of delivery date or a question about a source file.
We use property records, ledgers and appraisal documents to perform the analysis that the client has requested. During that work, the records are reconciled, transformed and assembled into structured datasets. Every transformation is documented so that a reviewer can retrace the path from the original record to the final figure.
We use aggregated and de identified information to improve our methods. For example, we may study patterns in how often a particular field is missing across many engagements in order to design a better validation rule. When we do this, we remove or generalise anything that could be linked back to a specific client, property or individual.
We do not sell personal information. We do not rent contact lists. We do not use information supplied for a client engagement to advertise unrelated services to that client, and we do not add client contacts to a marketing list without their express request.
6. Legal Bases and Contractual Grounds
For individuals located in jurisdictions that use a legal basis framework, such as the European Economic Area and the United Kingdom, we rely on the following grounds. Performance of a contract applies when the processing is necessary to deliver an engagement that you or your organisation has commissioned. Legitimate interests apply when the processing is necessary for the secure operation of our website and practice, balanced against your rights and freedoms. Legal obligation applies when we must retain records for tax or accounting purposes. Consent applies where we have specifically asked for it.
Where a client organisation provides information to us, that organisation is usually the controller of the information and AIPROPX LLC acts as a processor on its instructions. In that situation we process the information only as the client directs, we keep it confidential, and we return or delete it at the end of the engagement as the client requests. A separate data processing agreement is available when a client requires one.
For information that we collect directly from individuals through this website, AIPROPX LLC acts as the controller and is responsible for the choices described in this policy.
7. Sharing Information with Service Providers
We use a small number of service providers to operate the practice. These include a hosting provider that serves the static pages of this website, an email provider that transmits and stores business correspondence, and accounting or document storage providers that hold engagement records. Each provider receives only the information that is necessary for the service it performs, and each is bound by a contract that requires confidentiality and appropriate security.
Service providers are not permitted to use our client information for their own marketing purposes. We review the security posture of providers before we engage them and we reassess the arrangement when a provider changes its terms in a material way.
We may disclose information if we are required to do so by law, by a valid court order, or by a regulator with lawful authority. We may also disclose information when it is necessary to protect the rights, property or safety of AIPROPX LLC, our clients or the public. Where a disclosure is permitted but not compelled, we will notify the affected client unless the law forbids that notification.
If the practice is ever reorganised, merged or transferred, client records may form part of the transferred assets. In that event the receiving organisation would be required to honour the commitments in this policy, and we would give affected clients notice of the change.
8. International Data Transfers
AIPROPX LLC operates from the United States, and most of the processing described in this policy takes place inside the United States. Some service providers store data in other countries. When information moves across a border, we take steps to ensure that it remains protected. Those steps include contractual clauses that require the recipient to apply safeguards comparable to the ones described here, and a review of the legal environment in the destination country.
If you are located outside the United States and you send information to us, you should understand that the information will be processed in the United States, where privacy laws may differ from the laws in your own jurisdiction. We handle that information in the manner described in this policy regardless of where it originates.
9. How Long We Keep Information
Enquiry messages that do not lead to an engagement are kept for two years and then deleted, unless we are required to retain them for a legal reason. Contact details of people who ask to be removed from our correspondence are deleted promptly.
Engagement records, including reports, working datasets and correspondence about the work, are kept for seven years after the engagement closes. This period reflects the need to answer questions that may arise long after delivery, and the record keeping expectations that apply to a company operating in the United States. After seven years the records are deleted or anonymised unless a legal hold requires otherwise.
Backup copies are overwritten on a rolling cycle. When a record is deleted from the live system, it may persist in a backup for a short period before the cycle replaces it. Access to backups is restricted and is used only for restoration after an incident.
Server logs held by the hosting provider are retained for a shorter period, typically no more than ninety days, and are then discarded according to the provider policy.
10. Security Measures
We protect information with technical and organisational measures that are proportionate to the sensitivity of the data. Those measures include transport encryption for the website and email, access controls that limit engagement files to the analysts working on them, and separate storage for the working datasets of different clients.
Accounts that can reach client records require strong authentication. Internal documents that describe the workflow are reviewed when the workflow changes. We keep an inventory of the systems that hold client information so that we can respond quickly if a vulnerability is reported.
No system is perfectly secure. We cannot promise that a breach will never happen, but we can promise that we will act promptly if one does. If a security incident affects personal information, we will investigate, contain the incident, and notify affected clients and any regulator as the law requires.
11. Your Privacy Rights
Depending on where you live, you may have the right to request access to the personal information that we hold about you, to ask for a correction if it is inaccurate, to ask for deletion in circumstances where retention is no longer justified, and to ask for a copy of the information in a portable format.
You may also have the right to object to a particular use, to restrict how we process information while a dispute is resolved, and to withdraw consent where consent is the basis for processing. These rights are not absolute, and some exceptions apply where the law requires us to retain records or where a legitimate interest outweighs the request.
To exercise any of these rights, write to contact@aipropx.lat with enough detail for us to identify the information in question. We will respond within thirty days in most cases. If we need more time, we will explain why. We may ask for proof of identity before releasing personal information, so that we do not disclose it to the wrong person.
If your request concerns information that a client supplied to us, we may need to forward the request to that client, because the client is the controller of that information. We will tell you if we do this.
12. Children and Privacy for Children
This website and the services of AIPROPX LLC are intended for businesses and professionals. They are not directed at children, and we do not knowingly collect personal information from anyone under the age of sixteen. If you believe that a child has provided personal information to us, please write to contact@aipropx.lat and we will delete the information promptly.
If an engagement document happens to contain information about a minor, for example a tenant record, we treat that information as confidential client data and use it only for the purpose of the engagement. We do not create profiles of minors and we do not use such information for any purpose beyond the analysis that the client requested.
13. Contact Form and Email Communication
The contact form on this website does not store your message on a server. When you press the send button, your browser opens your own email application with the message pre filled, and you choose whether to send it. The message then travels by ordinary email to contact@aipropx.lat.
Ordinary email is not a secure channel. Please do not include sensitive personal information, account numbers or confidential documents in the contact form. If you need to send a sensitive file, write first and we will arrange a more suitable channel.
We keep business correspondence so that we can follow up on a conversation and so that we have a record of what was agreed. If you would prefer that a particular message not be retained after it has been answered, you may ask us to delete it, and we will do so unless a legal obligation requires retention.
14. Cookies and Local Storage
This site does not require cookies to function and does not use them for advertising. It does not place a tracking identifier in local storage. The only browser storage that may be used is the ordinary session behaviour of your browser, which is outside our control and is governed by your browser settings.
Your browser may offer settings that block cookies, clear local storage on exit, or send a do not track signal. Because we do not rely on cookies for the operation of this site, applying those settings will not prevent you from reading any page. If a future change introduces a feature that depends on storage, we will describe it here and provide a way to decline it.
15. Third Party Links
Pages on this website may link to external resources, such as a map service or a professional directory. When you follow such a link, you leave our site and the privacy practices of the destination site apply. We do not control those practices and we cannot accept responsibility for them.
We encourage you to read the privacy notice of any site before you provide personal information to it. A link from our site does not imply that we endorse the way the destination site handles information.
16. Automated Analysis and Client Data
AIPROPX LLC uses software, including AI assisted components, to support the analysis that we deliver. Those components help with tasks such as matching records across systems, flagging inconsistencies and drafting the first version of a written finding. A human analyst reviews the output before it reaches a client, and the analyst remains accountable for the conclusion.
Client data provided for an engagement is used only for that engagement. It is not used to train a public model, it is not contributed to a shared corpus, and it is not made available to other clients. Where a third party model provider is used in the workflow, the provider is bound by a contract that forbids training on our data and forbids retention beyond the processing request.
If a client prefers that a particular dataset not pass through an automated component, we can perform that part of the work manually. The choice is recorded in the engagement scope so that it is clear to everyone involved.
17. Changes to This Policy
We may update this policy when our practices change, when a new service provider is engaged, or when the law requires a different disclosure. The updated version will carry a new effective date at the top of the page. If the change is material, we will also notify active clients by email.
Previous versions are kept on file and can be provided on request. We encourage you to review this page periodically if you want to stay informed about how information is handled. Continuing to use the website after an update means that you accept the revised policy for future interactions.
18. How to Reach Us
If you have a question about this policy, a request about your information, or a concern about the way we have handled data, please contact us. You can write to AIPROPX LLC at 361 E Susan Cir, Sandy - 84070-3438, United States (US). You can send email to contact@aipropx.lat or telephone +13098618914 during business hours, Monday to Friday between 9:00 and 17:00 Mountain Time.
We take privacy concerns seriously and we will investigate every complaint. If you are not satisfied with our response, you may have the right to complain to a data protection authority in your jurisdiction. We will cooperate with any such authority and provide the information it needs to assess the matter.
